Competitive Edge Core™ — Privacy Policy
1. Introduction
This Privacy Policy describes how JMT Choreography (“we,” “our,” “us”) collects, uses, stores, and protects information when you use the Competitive Edge Core™ platform (“the System”). By using the System, you agree to the practices described in this Policy.
This Policy applies to gym owners, coaches, program directors, athletes, and parents who interact with the System.
2. Information We Collect
2.1 Information you provide to us
- Contact information for owners, coaches, and program directors (name, email, phone).
- Athlete information entered by gym staff: name, date of birth, parent/guardian contact, team and class assignments, attendance records, skill progression, and incident reports.
- Lesson plans, coach notes, scorecards, and other operational content created within the System.
- Payment information for subscriptions (processed by our payment provider; we do not store card numbers).
2.2 Information collected automatically
- Login timestamps and basic usage information.
- IP address and browser/device type for security purposes.
- Cookies and session storage required for portal functionality.
2.3 Sensitive categories
- Minor athlete data (athletes under 18). We rely on the Client gym to obtain all required parental consents before entering minor athlete data into the System.
- Medical information from incident records (injury type, body area, severity, action steps). The Client gym is solely responsible for handling such information in compliance with applicable privacy and medical-information laws.
3. How We Use Information
- To operate, maintain, and improve the System.
- To provide customer support and respond to inquiries.
- To deliver subscription services as described in our Intellectual Property & System Use Agreement.
- To enforce our Terms & Conditions and prevent misuse.
- For Tier 2 services, to provide ongoing program direction (review of coach submissions, scorecard generation, etc.) within the Client gym’s authorization.
We do NOT use your information for marketing, advertising, or sale to third parties.
4. Information Sharing
- Within the Client gym, information is shared as the System is configured (Owner sees their gym; Coach sees their assigned teams/classes; Director sees the gym).
- Across gyms: data is NEVER shared with another Client gym. Gym-level isolation is enforced by the System.
- With third-party platform providers we rely on for hosting (Airtable, Softr) and payment processing. These providers have their own privacy policies.
- When required by law (subpoenas, court orders, regulatory requests).
- In a business transfer (merger, acquisition, sale) — successor party will be bound by this Policy.
5. Data Security
- Industry-standard transport encryption (HTTPS) for all data transmission.
- Platform-level access controls and authentication required for portal access.
- Role-based access enforcement (Owner / Coach / Director / Admin).
- Gym-level data isolation enforced through filtering rules.
We use commercially reasonable measures to protect data, but no system is 100% secure. In the event of a data breach affecting your information, we will notify the affected Client gym within seventy-two (72) hours of discovery.
6. Children’s Privacy (COPPA)
The System collects data about minor athletes (including some under 13) entered by gym staff on behalf of parents. The Children’s Online Privacy Protection Act (COPPA) requires parental consent before collecting personal information from children under 13.
The Client gym is responsible for obtaining all required parental consents before entering minor athlete data into the System. JMT Choreography does not collect data directly from children. All data is entered by authorized adult staff at the Client gym, on behalf of the Client gym’s relationship with the parent.
Parents may request access to, correction of, or deletion of their child’s data by contacting the Client gym directly. The Client gym can fulfill such requests through the System.
7. Your Rights
- Access — you may request a copy of personal information we hold about you.
- Correction — you may request correction of inaccurate information.
- Deletion — you may request deletion of personal information, subject to legal retention requirements.
- Portability — you may request export of your information in a commonly-used format.
- Withdrawal of consent — for any processing that depends on consent.

8. Data Retention
We retain Client Data for as long as the Client maintains an active subscription, plus a reasonable period thereafter for backup, legal, and audit purposes (typically 12 months). Upon Client cancellation, the Client may export their data within 14 days per our Intellectual Property & System Use Agreement. After that period, Client Data may be deleted.
9. International Users
The System is operated from the United States. If you access the System from outside the United States, you consent to the transfer of your information to the U.S. for processing.
10. Cookies & Tracking
The System uses session cookies and authentication tokens required for the portal to function. We do not use third-party advertising cookies or tracking pixels for marketing purposes.
11. Changes to This Policy
We may update this Policy from time to time. We will notify Clients of material changes by email at least thirty (30) days before the changes take effect. Your continued use of the System after changes take effect constitutes acceptance of the updated Policy.
